The process

Four stages, one evening

Nothing here is a surprise on the night, because all of it is agreed in writing first.

  1. Discovery and audit

    We map what you have today: mailbox count and sizes, current provider, DNS, devices, shared calendars, public folders and every line-of-business application that sends email. You get a written migration plan with a fixed date and a rollback position.

  2. Build and pre-stage

    We build your Exchange organisation, add your domains, create every mailbox and pre-seed the historic mail while your existing system carries on running. Nobody is disrupted and nothing is switched over yet.

  3. Cutover out of hours

    On the agreed evening we lower DNS TTLs, run the final delta sync, move the MX records and reconfigure Outlook profiles. A 25-mailbox organisation is typically finished well before midnight.

  4. Morning-after support

    An engineer is on the phone from 08:00 the next working day for mobile reconnections, signature tweaks and the inevitable questions about why it looks slightly different. We stay hands-on for the first fortnight.

An on-premises Exchange serverThe cleanest migration of all. We can usually move you without users noticing anything beyond a single Outlook restart.
Google Workspace / GmailMail, calendars and contacts migrate. We map labels to folders sensibly and explain the handful of behaviours that genuinely differ.
IMAP or POP hostingThe most common starting point. Mail migrates in full; calendars and contacts usually live on the individual PCs, so we collect those too.

Honest answers

The three things people are actually worried about

Will we lose any email?

No. Your existing mailboxes stay live and untouched until the cutover completes, and we keep them accessible for a further 30 days as a fallback. The pre-seed plus delta sync means the final move only carries a few hours of mail.

How much downtime is there?

For the mail flow, effectively none — mail queues at the sending server during the MX change and delivers as soon as the new records propagate. For users, it is one Outlook restart the next morning.

What if it goes wrong?

The plan includes a rollback: your old MX records are documented and your old mailboxes are still live, so reverting is a DNS change. In practice we have not needed it, but it is written down before we start.

Migration FAQs

How long does migration take, and will we lose email?

No email is lost. We pre-seed your historic mail into the new mailboxes while your existing system keeps running, so the final cutover only has to move the last few hours of messages. A typical 25-mailbox organisation is migrated in a single evening, out of hours, and an engineer is on the phone from 08:00 the following morning. Migration is free with every mailbox you order.

Can we keep our existing domain name and email addresses?

Yes, and that is the normal case. You keep your domain, your addresses and your signatures. We add your domain as an accepted domain in your Exchange organisation, pre-stage everything, and change the MX records at cutover. You can host as many domains as you like on one organisation at no extra cost.

What happens if we want to leave?

There is no minimum term and no exit penalty. Give us 30 days notice and we will export your mailboxes to PST or assist a migration to your new provider. Your data is yours, and we will not hold it hostage to keep your business.
