What hosted Exchange actually is

Your own Exchange server, without owning a server

Hosted Exchange is Microsoft Exchange Server — the same product that has sat in British server rooms for twenty-five years — run as a service. You get your own Exchange organisation: your domains, your Global Address List, your mailbox plans, your administrators. What you do not get is the hardware, the licensing, the cumulative updates, the certificate renewals or the 3am call when a database dismounts.

That matters because Exchange is still the only mail platform that does certain things properly. Free/busy calendar lookups across an organisation. Delegate access that behaves the way a director's PA expects. Public folders that a twenty-year-old workflow depends on. Shared mailboxes that do not cost you a licence. An address list that updates itself. IMAP has never done any of that, and it never will.

What "hosted by us" means

Your mailbox databases live in UK data centres on infrastructure we control, replicated across multiple Exchange servers in a Database Availability Group so a single server failure never becomes your outage. Backups are held off-host and test-restored on a schedule. Nothing is processed outside the United Kingdom, and that is written into your contract rather than implied by a marketing page.

  1. Discovery and audit

    We map what you have today: mailbox count and sizes, current provider, DNS, devices, shared calendars, public folders and every line-of-business application that sends email. You get a written migration plan with a fixed date and a rollback position.

  2. Build and pre-stage

    We build your Exchange organisation, add your domains, create every mailbox and pre-seed the historic mail while your existing system carries on running. Nobody is disrupted and nothing is switched over yet.

  3. Cutover out of hours

    On the agreed evening we lower DNS TTLs, run the final delta sync, move the MX records and reconfigure Outlook profiles. A 25-mailbox organisation is typically finished well before midnight.

  4. Morning-after support

    An engineer is on the phone from 08:00 the next working day for mobile reconnections, signature tweaks and the inevitable questions about why it looks slightly different. We stay hands-on for the first fortnight.

How much does hosted Exchange cost per mailbox in the UK?

A full Exchange mailbox with MyExchangeServer is £8.00 + VAT per mailbox, per month. That includes 50 GB of storage, shared calendars and contacts, instant push sync to every device, anti-spam and anti-virus filtering, and self-service administration through SolidCP. There is no set-up fee, no minimum term and no minimum mailbox count. Paying annually saves 10%.

What happens when a 50 GB mailbox fills up?

You extend it. Extra storage is £2.50 + VAT per 50 GB block, per mailbox, per month, and you can stack as many blocks as you need. If the mailbox is mostly historic mail, an in-place archive at £3.00 + VAT per 100 GB is usually the cheaper answer, because it keeps the primary mailbox small and Outlook fast while everything remains searchable.

Where is my email actually stored?

In UK data centres, and only in UK data centres. Your mailbox databases, their replicas and their backups all sit on infrastructure we control on British soil, and that commitment is written into your contract. Support is delivered by our own engineers in Birmingham, so nobody outside the UK handles your data.

What is SolidCP and why does it matter?

SolidCP is the control panel we give every customer. It lets your own IT team create, edit and delete mailboxes, manage distribution groups and contacts, set delegate and send-as permissions, apply mailbox plans, enforce password policies, wipe a lost phone and see live storage usage, all without raising a ticket or learning Exchange PowerShell. Most hosted Exchange providers keep that behind their support desk. We do not.

How long does migration take, and will we lose email?

No email is lost. We pre-seed your historic mail into the new mailboxes while your existing system keeps running, so the final cutover only has to move the last few hours of messages. A typical 25-mailbox organisation is migrated in a single evening, out of hours, and an engineer is on the phone from 08:00 the following morning. Migration is free with every mailbox you order.

Which version of Exchange Server do you run?

Exchange Server Subscription Edition, the current supported on-premises release, deployed in a Database Availability Group so every mailbox database is replicated across multiple servers with automatic failover. We keep the platform on current cumulative updates and apply security updates on a managed schedule.
